Privacy policy

Robotchi is a personal AI employee offered by RocketLauncher AI (Belgium). This policy explains which data we process, why, who can access it and which rights you have. It is deliberately concrete: it describes what Robotchi really does today.

1. Who is responsible

RocketLauncher AI, Belgium, is the data controller. Contact: marnixgeerkens@gmail.com.

2. Which data we process

  • Account. Your name, email address and the profile id Google gives us when you sign in. We never receive your password.
  • Google Workspace data (only if you connect your Google account). See chapter 3.
  • Conversations. The messages, voice recordings, photos and files you give Robotchi, and the replies.
  • Tasks, reminders and work context. What you ask Robotchi to follow up, and the business context Robotchi infers (for example from your public website) and you confirm.
  • Payment. Your subscription and invoice status. Card details go directly to our payment partner; we do not store them.
  • Technical. Time of use, error reports, device token for push notifications. No advertising tracking, no third-party analytics scripts on our pages.

3. Data from your Google account

When you connect Robotchi to Google, Robotchi asks for read access only to Gmail and Google Calendar. These are the exact permissions:

Read who emails you, which emails are waiting for your reply and which conversations are waiting on someone else. For the first overview Robotchi reads sender, subject, labels and timestamp only, not content. Robotchi reads the content of a message only when you ask about it in a conversation.

Show and prepare your upcoming meetings: what is on tomorrow, which meetings are back to back and which still miss a location or link.

Sign-in. Show your name and email address so Robotchi does not have to ask who you are.

What Robotchi cannot do: send, delete, move or label mail; create, change or delete events. Robotchi asks no permission for that. If we add such features later, we will ask for that permission separately and only when you want to use the feature.

What we keep

  • From the first overview we keep the counts and the subject lines and sender names used, in your onboarding record on our servers, so Robotchi can refer to them in the first conversation. No message content.
  • What you ask Robotchi about your mail or calendar in conversations, and the answers, are kept as part of your conversations (chapter 5).
  • The access keys (OAuth tokens) are stored by our integration partner (chapter 6). In a fallback scenario without the integration partner we store them ourselves on our server in the EU; that copy is erased when your account is deleted, or earlier at your request.

Revoking access

You can disconnect at any time: in Robotchi via Integrations → Disconnect, or directly in your Google account at myaccount.google.com/permissions. After that Robotchi can read nothing anymore.

Google API Services User Data Policy

Robotchi's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

  • How Google data is used: only to provide user-facing features you can see in Robotchi: an overview of which emails likely need your reply and which conversations are waiting on someone else, a preparation of your upcoming meetings (back-to-back, missing location or link), and answers to questions you ask Robotchi about your own mail and calendar.
  • Storage: the counts, subject lines and sender names from your first overview are stored in your onboarding record on our servers in the EU (Germany). Conversation content is stored with your assistant. OAuth tokens are stored by our integration partner. We do not build a copy of your mailbox.
  • Sharing: Google user data is not sold, not used for advertising, not used to train AI or machine-learning models, and not shared with third parties except the processors that operate Robotchi on our behalf under data-processing agreements (integration partner, assistant runtime), or where required by law. Humans do not read your Google data except with your explicit request for support, for security or abuse investigation, or as required by law.
  • Retention and deletion: data is kept while your account exists. Disconnecting Google immediately removes the connection at our integration partner. Deleting your account removes your assistant and all associated data, including any stored Google data and tokens, within 30 days.

4. What we use data for

  • To make Robotchi work: understand your request, answer, carry out tasks, send reminders, summarise your inbox and calendar.
  • To secure your account and prevent abuse.
  • To fix failures.
  • To invoice you.

We do not sell data. We do not use your data for advertising, not to train AI models and not to build profiles for third parties. People at RocketLauncher AI read your data only when you ask us to for a support question, when needed for security or abuse investigation, or when the law requires it.

5. Retention

  • Conversations, tasks and work context are kept as long as your account exists, unless you delete them yourself. Temporary conversations (for example a shared link or photo without an account) are deleted after 24 hours.
  • After cancellation or deletion of your account we delete your assistant, your connected access and all associated data within 30 days.
  • Invoicing data is kept as long as the law requires (7 years in Belgium).

6. Who processes your data

Every user gets their own isolated assistant. Your data is not shared with other users. To run the service we use a limited number of processors, each under a data-processing agreement:

For transfers outside the EU we rely on the European Commission's standard contractual clauses and, where applicable, the EU-US Data Privacy Framework. On request we provide the names of our processors and the safeguards used.

7. Your rights

You can access your data, have it corrected or deleted, restrict processing and take your data with you. You delete conversations and tasks yourself in the app. To delete your entire account and all data, email the address below from your account's email address. We confirm deletion within 30 days. If you have a complaint you can also contact the Belgian Data Protection Authority (dataprotectionauthority.be).

8. Changes

If this policy changes, we announce it in advance in the app or by email. The date at the top shows the current version.
